The Senior Specialist, SEC Reporting Operations & Coordination plays a critical role in supporting the execution of the company’s quarterly and annual SEC reporting processes. This position serves as a central coordinator for reporting activities, ensuring the timely and accurate preparation, organization, and administration of reporting deliverables.

Unlike traditional SEC Reporting roles that focus on technical accounting or regulatory interpretation, this position specializes in process management, stakeholder coordination, systems administration, and operational execution. The role is responsible for managing reporting workflows, maintaining reporting systems (including Workiva), coordinating information requests, facilitating training and onboarding activities, and driving process improvements across the reporting cycle.

The ideal candidate is highly organized, detail-oriented, collaborative, and skilled at managing multiple deadlines while partnering effectively with stakeholders across Finance, Legal, Investor Relations, and other business functions.

Key Responsibilities

  • Coordinate and support the execution of quarterly and annual SEC reporting processes, ensuring critical deadlines and deliverables are met.

  • Provide review, formatting, and draft preparation support in accordance with team processes and standards.

  • Serve as a central point of coordination among SEC Reporting, Finance, Legal, Investor Relations, and other business partners throughout the reporting cycle.

  • Manage the roll-forward of financial statements and related reporting documents each quarter and year-end, ensuring consistency and readiness for reporting activities. Also roll-forward and organize other supporting documentation on shared drives ensuring easy record retention and working drafts.

  • Administer and maintain Workiva, including document setup, updates, permissions, workflow management, and reporting process support.

  • Support the preparation, distribution, and tracking of quarterly and annual reporting request lists and information gathering activities.

  • Partner with business stakeholders to validate submitted information, resolve questions, and ensure completeness and accuracy of reporting inputs.

  • Monitor reporting timelines, track action items, and proactively follow up with stakeholders to drive timely completion of assignments.

  • Facilitate reporting process meetings, capture key decisions and action items, and maintain supporting documentation.

  • Support the planning, coordination, scheduling, recording, and documentation of team training programs and knowledge-sharing sessions.

  • Assist with onboarding activities for new team members, including coordinating schedules, preparing training materials, arranging system access, and supporting orientation activities.

  • Develop, maintain, and improve reporting calendars, process documentation, procedures, checklists, and operational controls.

  • Identify opportunities to streamline reporting processes, improve efficiency, and enhance consistency across reporting cycles.

  • Monitor and share developments on the Workiva platform, including items that could be implemented to improve the team’s processes and use of Workiva.

  • Maintain organized records, documentation, and reporting support materials in accordance with established governance and retention requirements.

  • Provide operational leadership and guidance on reporting processes and systems, serving as a resource for team members and stakeholders.

Required Qualifications

  • Bachelor’s degree in Business Administration, Finance, Communications, Information Systems, Operations Management, or a related field; or equivalent experience.

  • 4+ years of experience supporting complex business operations, reporting processes, project coordination, program administration, or similar functions.

  • Experience managing multiple projects and deadlines in a fast-paced, highly regulated, or deadline-driven environment.

  • Experience coordinating cross-functional initiatives involving multiple stakeholders.

  • Strong proficiency with Microsoft Office applications, including Excel, PowerPoint, Word, and Outlook.

  • Advanced experience using Workiva to generate financial reporting.

  • Demonstrated ability to organize large amounts of information, manage competing priorities, and execute with a high degree of accuracy.

  • Excellent written and verbal communication skills.

Preferred Qualifications

  • Experience supporting SEC reporting, financial reporting, public company reporting, or other corporate governance processes.

  • Experience administering or supporting Workiva or similar reporting and workflow management platforms.

  • Experience creating process documentation, training materials, and operational procedures.

  • Knowledge of project management methodologies, process improvement practices, or workflow optimization techniques.

  • Experience working within Finance, Accounting, Legal, Investor Relations, or Corporate Reporting organizations.

  • Familiarity with reporting calendars, reporting governance processes, and regulatory filing environments.
