This role supports the billing and payment collection functions for Workplace Services, with a focus on Retirement Plan Services (RPS) and Stock Plan Services (SPS). The position is responsible for ensuring the accuracy and timeliness of billing operations, supporting payment processing activities, and partnering with internal stakeholders to resolve issues and drive operational excellence. In addition, the role provides oversight of Benefit Statement verification processes and leverages advanced Excel and macro-based solutions to enhance efficiency, strengthen controls, and support continuous process improvement initiatives.

What you'll do: 

Stock Plan Services (SPS):

  • Generate and transmit quarterly billing for approximately 140 SPS corporate clients.
  • Accurately track and bill administrative and misc. fees for new and existing SPS clients.
  • Track payments, credits, and aged receivables in the billing system; submit transactions for review and approval in GENTRAN.
  • Produce monthly and quarterly reporting for Accounting and SPS Relationship Managers (RMs) & Customer Service Managers (CSMs)
  • Respond to questions from clients and internal partners; escalate past due invoices with business partners.

Retirement Plan Services (RPS):

  • Collaborate with other billing team members to produce quarterly invoices for recordkeeping fees, other fees, and fund-remuneration adjustments for RPS clients.
  • Track payments and past-due amounts in the billing system.
  • Process fund remuneration payments to participant and plan accounts.
  • Provide timely response to questions from Relationship Managers (RMs) and internal business partners for assigned clients.
  • Set up and review plan fees in RPM/SRI for plan conversions and amended fees for existing clients.
  • Process and track requests and tasks in the Work Requests/myQ/Absolute Quality systems.
  • Produce monthly/quarterly Aging and other reports for Relationship Management, Accounting, and Internal Controls/Audit.

Miscellaneous Responsibilities:

  • Support the Benefit Statement review and verification process by identifying, analyzing, and resolving statement outages and discrepancies. Collaborate with business partners to ensure issues are addressed accurately and within established service levels.
  • Demonstrated advanced proficiency in Microsoft Excel, including the development, maintenance, and support of complex macros to drive process improvements, automation, and operational efficiency across business teams.
  • Support Business-Led Development (BLD) governance by working with cross-functional partners to assess solution scope, document requirements, and maintain accurate inventories and tracking records. Facilitate annual BLD attestations and ensure adherence to operational risk and control standards.
  • Other duties as assigned or needed by Manager.

Required Qualifications:

  • BS/BA degree in Finance, Business, Accounting, or similar experience
  • Experience with billing and/or Schwab systems required.
  • Experience with Sage, Gentran, and the Benefit Statement Interface is required
  • Experience reviewing and interpreting retirement plan documents to accurately establish and maintain fee structures within Retirement Plan Manager (RPM).

Preferred Qualifications: 

  • Attention to detail and consistency in following procedures.
  • Good written and oral communication skills.
  • Strong computer skills, including experience with Excel, Word, and Outlook.
  • Ability to provide timely and accurate responses to questions from clients or internal business partners.
  • Willingness to ask questions and provide feedback for process improvement.
  • Proficiency in Microsoft Excel products including VBA Macro support
