Specialist Administrative Assistant - San Francisco, CA

We believe in the importance of in-office collaboration and this position requires four-days in office each week on site in San Francisco, CA.
We are seeking an Administrative Specialist to provide support for two Marketing executives and their teams. This position will also provide planning and execution support for fun local employee events sponsored by our Business Council.
What you’ll do:
- Provide administrative support for assigned Marketing executives, including calendar management, travel planning and expense reporting.
- Coordinate leadership meetings and marketing events, including catering when needed and external vendor management.
- Attend San Francisco Business Council meetings, manage Council budget, and help plan and execute fun local employee community-building events.
- Light office management duties, such as ordering supplies and accepting deliveries.
- Ensure Outlook distribution lists are regularly updated to maintain precise and effective communication.
- Create and maintain departmental files utilizing the full suite of MS Office.
- Establish and maintain collaborative and professional business relationships with all levels of management, employees, and key business partners.
What you have
Required Qualifications:
- Experienced administrative assistant with a proven track record of supporting senior executives and their teams.
- Highly organized, proactive, and flexible multi-tasker who works well under pressure and meets deadlines.
- Technically savvy, proficient in Microsoft Applications including Outlook and MS Teams, and ability to learn new technologies rapidly.
- Demonstrated ability to manage several complex calendars simultaneously.
- Travel & Expense management experience required, Concur preferred.
- Demonstrates sound judgment and handles sensitive, confidential information with tact and discretion, maintaining a high level of accuracy and attention to detail.
- Responds to direction while proactively anticipating leadership and team needs.
- Great interpersonal and communications skills—written, verbal and face-to-face.
- Ability to build influence and relationships with other Administrative Assistants to negotiate / find compromises on scheduling meetings, and to learn and share best practices to create work efficiencies.
- Loves being part of dynamic teams
Preferred Qualifications:
- Bachelor’s degree in business administration, Operations, or related field preferred.
- Event planning experience
