As part of Charles Schwab’s Lease Administration team, you will be responsible for the day- to- day management of the company’s large commercial and retail real estate portfolio. The Lease Administrative Senior Specialist is part of a collaborative, diverse and driven professional environment. The team maintains and processes critical lease information in the lease database system (CoStar). The Senior Specialist is responsible for supporting the accurate administration of lease documents, data, and related financial obligations across the real estate portfolio. The Senior Specialist collaborates and works closely with cross-functional groups in Corporate Real Estate, Finance, Legal and Risk Management, as well as interacting with multiple landlords that range in size from small property owners to large institutions including REITs (Real Estate Investment Trust).

Responsibilities include but are not limited to:

  • Support Lease Administration team in administering leases and navigating lease administration workflows across the portfolio.
  • Coordinate lease document execution workflows, including approval tracking, signature routing, status monitoring, and distribution of executed documents in partnership with Legal and Portfolio teams.
  • Maintain oversight of lease documentation activity by monitoring status, following up on outstanding items, and ensuring documents are reflected in the database.
  • Coordinate vendor and address changes to maintain accurate lease and payment records.
  • Monitor and oversee lease administration mail and email identifying time‑sensitive items (e.g., defaults, legal notices) and escalating or routing appropriately to ensure timely response.
  • Perform detailed reviews of rent statements against system data, initiating or coordinating updates to recurring and one‑time charges to ensure billing accuracy.
  • Lead administrative support for SNDA and estoppel processes, including tracking, coordinating inputs across internal partners, and managing communications with landlords and internal Legal teams.
  • Coordinate responses to landlord requests for Certificates of Insurance and monitor compliance for subtenants.
  • Perform monthly Rent Roll and Weekly Payment Request (WPR) invoice verifications.
  • Verify real estate tax bills and process for payment in a timely manner.
  • Partner with real estate tax consultants to improve reporting accuracy, validate billings and support payment processing through Ariba.
  • Contribute to special projects and process improvements focused on improving efficiency, accuracy, and consistency across lease administration operations.

Please note: this position is Monday - Friday during standard business hours with a hybrid work model (4 days in office, 1 day working from home). It is only available in Lone Tree, Colorado. Candidate must reside in or be willing to relocate on their own to the listed location.

Required Qualifications:

  • 4+ years of work experience in corporate or retail real estate
  • Strong understanding of real estate terminology as well as basic understanding and interpretation of lease language
  • Critical thinking, analytical, financial and problem-solving skills
  • A desire to work within a diverse, collaborative and driven professional environment
  • Ability to work independently and within a team to build relationships and interact effectively with business partners
  • Strong verbal and written communication skills
  • Proficiency in Microsoft Office and Adobe Acrobat
  • Experience with using lease administrative database

Preferred Qualifications:

  • CoStar a plus
  • Bachelor’s Degree preferred
