Role focus: operational processing, wire desk activities, quality control review, project execution, and continuous improvement.
Charles Schwab Trust Bank provides trust, custody, trading, and technical services to retirement plan sponsors, advisors, and their agents.
Within CSTB, Cash Operations supports the accurate and controlled movement of client funds through incoming and outgoing cash activity, while maintaining adherence to regulatory, tax, operational risk, and information security requirements.
The CSTB Cash Management Team is responsible for processing client transactions, maintaining accurate account records, supporting wire and cash movement activities, performing quality control functions, and partnering with internal business groups to resolve transaction-related inquiries. The Operations Specialist role combines production responsibilities with increased ownership of operational controls, project initiatives, and process improvements that enhance efficiency, scalability, and risk mitigation.
This is a high-volume, detail-intensive, and deadline-driven role. Success requires strong analytical skills, sound decision-making, accountability, and the ability to balance daily operational responsibilities with project-based work and continuous improvement initiatives. Overtime may be required during critical or peak production periods.
What You'll Do
Process contributions, distributions, and other cash transactions accurately and efficiently.
Maintain and update client account information to ensure data integrity and compliance.
Research, investigate, and resolve transaction-related inquiries from internal business partners.
Perform quality control reviews of operational transactions to ensure accuracy, completeness, and adherence to established procedures and controls.
Initiate, review, and release wire transactions in accordance with approval requirements and risk management standards.
Research incoming electronic deposits, wire activity, cash transfers, and account funding transactions.
Monitor operational queues, functional mailboxes, and workflows to ensure timely completion of daily work.
Partner with cross-functional teams to support a seamless client and participant experience.
Lead or participate in departmental projects, testing efforts, system implementations, process enhancements, and operational readiness activities.
Analyze production trends, identify process gaps, and recommend solutions that improve efficiency, quality, and risk management.
Utilize Excel and data-analysis tools to review operational results, identify discrepancies, and support business decision-making.
Document procedures, update desk guides, and assist in maintaining operational documentation.
Support training, cross-training, and knowledge-sharing efforts across the team.
Adhere to established procedures, controls, audit requirements, and regulatory standards.
Contribute to continuous process improvement efforts and support team initiatives as needed.

Advanced proficiency in Microsoft Office applications, particularly Excel.

Ability to quickly learn new systems, products, processes, and regulatory requirements.

Preferred Qualifications
Experience in retirement services, banking operations, treasury operations, financial services, cash management, or accounting.
Experience processing and/or reviewing wire transactions and electronic payments.
Experience supporting operational projects, system implementations, testing, or process-improvement initiatives.
Familiarity with quality control, operational risk management, and control-based environments.
Experience with transaction processing and client account maintenance.
Overtime may be required during critical or peak production periods.
